Proposed Notice of AGM
“ Notice of 2020 AGM of The British Finn Association”
To take place, as set out below, formal meeting being on 28 November 2020, at 17:00.

Note: the previously announced meeting at the National Championships, which were cancelled, will not now take place due to Covid-19 regulations and guidelines.
Association rules require that the Association to hold an Annual General Meeting normally at the National Championships each year. Due to COVID 19 the Championships were cancelled. To meet the requirement of an AGM the Honorary Secretary calls such a meeting.
Due to Covid-19 regulations and guidance, and because many members are currently unable to attend in person, to achieve a meeting we will have to be to some extent an “at distance” gathering. A meeting is defined as ”a gathering of six or more persons”, and this we intend to achieve as set out below. It is the Officers’ intention to ensure that all members are fairly represented in the current difficult circumstances.
All information related to the AGM will primarily be displayed on the BFA website and Forum. All reference to display of information below (except results and minutes of meeting) will be circulated in this manner.

Programme:
September to 20 October: Nominations for Officers are invited and must include position sought, name of nominee, name of proposer and seconder (must be full Members), possibly a short letter of recommendation from the proposer, (remember we will circulate this to all members). Nominations should be addressed to the Honorary Secretary, BFA.
Any proposals for resolutions for the AGM to consider and vote on should, again, be addressed to the Honorary Secretary.
22 October: The 2019 minutes, the nominations, proposed resolutions, meeting agenda, association accounts, Officers reports, etc. will be posted on the Finn forum.
20 October to 2 November: Members are invited to submit to the Honorary Secretary any questions they may have on the BFA accounts and reports; these will be forwarded to the relevant Officer, requesting a response on or before 9 November when question and response will be displayed on the BFA Finn Forum.
16 November: Voting will commence. All votes to be forwarded as an email to the Honorary Secretary, these must include the member’s name and sail number.
28 November 2020 at 11:00: the Honorary Secretary in conjunction with the membership Secretary, if required, check off votes against the membership list to ensure eligibility of vote, add up votes cast for nominations, resolutions, accounts etc. and prepare results paper.
28 November at 1930: the formal AGM will commence on-line. Note: it is intended that Members will be able to join on a Web platform, but due to Covid-19 legislation and guidelines physical meeting attendance is limited as set out below.
A. Assuming it is permissible, outgoing Officers, together with nominated potential Officers, a minutes Secretary, will meet and carry out the AGM as per the agenda, including announcing ballot results.
B. If legislation/ guidelines restrict a gathering the size of “A” above, to satisfy the Association requirement that an AGM occurs, the president, any incoming Officers, the Honorary Secretary and the Treasurer, will conduct the formal meeting, as per the agenda for Members to view on a web platform.
Subsequent to the meeting, the minutes will be displayed on the BFA Finn Forum. -
